This notice explains what MedAITools processes, why it processes it, and the choices available to you. Last updated: 29 September 2026.
Who is responsible
MedAITools operates MedAITools and is responsible for this website and its account information. For privacy requests, contact the contact channel on the Contact page. Please do not include patient identifiers in your request.
Information we collect
When you register, we collect your name, email address, password, medical registration number, registration council, specialty, city and state. We use this information to create and protect your account, administer access, and support professional-user checks.
We also process technical information needed to operate and secure the service, such as browser and request information. We do not ask you to enter direct patient identifiers.
Clinical workflow information
Clinical inputs, uploaded .txt or .csv lab exports, and AI responses are used to generate the requested review draft. Submit only de-identified information that you are authorised to process and share.
The application does not create a clinical-chat record in its application database. The browser may temporarily hold a conversation, draft and response for the current session so follow-up questions and recent work can function. On a shared device, sign out and close the browser when you finish.
AI and other service providers
MedAITools sends the de-identified clinical context required for a workflow to OpenAI through its API to generate an AI response. Our API requests are configured with store set to false. OpenAI processing is also subject to its applicable terms and data controls.
We may use hosting, security, email and technical service providers to operate MedAITools. They may process information only as needed to provide services to us, protect the platform, or meet legal obligations.
How we use and share information
We use account and technical information to provide the service, authenticate users, maintain security, respond to support requests, investigate misuse, and meet legal obligations. We do not sell personal information.
We may disclose information where required by law, to protect users or the service, or as part of a lawful business transfer. We do not share clinical inputs for advertising.
Retention and deletion
We retain account and professional-profile information only for as long as reasonably necessary to operate the service, meet legal obligations, resolve disputes and maintain security. Clinical input is not intended to be kept as a clinical record in the application database.
You may request access, correction or deletion of account information through the privacy contact. We may need to verify your identity and may retain limited information where required for security, fraud prevention or law.
Your choices and international processing
You can choose not to submit a workflow, clear browser session data, or request account closure. You may also contact us with a concern about how your information is handled.
Our service providers may process information in locations outside India. When this occurs, we will use reasonable safeguards appropriate to the service and applicable law.
Security and changes
No online service can guarantee absolute security. Use a supported browser, keep your account password private, and do not use MedAITools over an untrusted shared session. Production access should always use HTTPS.
We may update this notice when the service or legal requirements change. We will post the revised date on this page and, where appropriate, provide additional notice.
